Privacy policy

This policy covers the Vector Route Systems marketing website (vectorroutesystems.co.uk) only — the pages you're reading right now. It does not cover the Vector Route Systems application (app.vectorroutesystems.co.uk), which has its own separate privacy policy covering account, trial and product usage data. If you've signed up for a trial or an account, that policy is the one that applies to you.

Who we are

Vector Route Systems is operated by Vector Route Systems Limited, a company registered in England and Wales under company number 17468160. Our registered office is at 167-169 Great Portland Street, 5th Floor, London, United Kingdom, W1W 5PF.

We're in the process of registering with the Information Commissioner's Office (ICO) as a data controller, which we expect to complete within the next week. You can check our current registration status at any time on the ICO's public register at ico.org.uk.

We haven't appointed a formal Data Protection Officer — this isn't a legal requirement for a business of our current size and the limited data we process. Any privacy enquiry should go to the contact address below, and we'll deal with it personally.

Personal data we collect

We only collect personal data through this website in two ways:

• The Contact form (/contact) — your name, company name, work email address, and whatever message you write.
• The Demo Request form (/demo) — your company name, work email address, fleet size, and whatever you tell us you're hoping to solve.

Beyond that, our hosting provider automatically logs standard technical information for every visit to this website — things like IP address and request details — the same way any web server does. We don't process this for analytics or profiling, and this website doesn't run any analytics software.

There is no trial signup form on this website. Starting a free trial happens entirely on the application at app.vectorroutesystems.co.uk, which collects its own account data under its own privacy policy — not this one.

Cookies and tracking

This website does not set cookies, and does not use Google Analytics, advertising pixels, session recording, or any other tracking or analytics technology. There's nothing to opt out of, because nothing like that runs here — and it's why you won't see a cookie banner on this site. If we ever add analytics or non-essential cookies in future, we'll add a proper consent mechanism at that point and update this section.

The typefaces used on this site (Poppins and Inter) are downloaded once when the site is built and served from our own domain — not loaded from Google's servers when you visit. So unlike a typical Google Fonts embed, visiting this site doesn't send any request, or any data, to Google as a result of font loading.

Why we process this data, and our lawful basis

• Responding to your enquiry. We use the details you submit through the Contact or Demo Request forms to reply to you and follow up about the platform. Our lawful basis is legitimate interests — it's reasonably necessary for us to run a business that people can get in touch with, and using your details only for what you gave them to us for has minimal impact on your privacy.
• Keeping our forms free of spam and abuse. Submissions pass through Netlify's built-in spam filtering before reaching us. Our lawful basis is again legitimate interests — protecting the service from abuse.

We don't use your data for advertising, don't sell it, and don't use it to make any automated decision about you (see "Automated decision-making" below).

Who we share data with

Netlify, Inc. hosts this website and processes Contact/Demo Request form submissions on our behalf (a service called Netlify Forms), including automated spam filtering. Netlify stores these submissions and makes them visible to us in a dashboard. We don't currently use any other third-party service — no analytics provider, no CRM, no email marketing tool, no advertising network — to receive data from this website.

International transfers

Netlify, Inc. is based in the United States. Where your data is processed outside the UK as part of Netlify providing this hosting and forms service, this is covered by appropriate safeguards under Netlify's own data processing terms, such as Standard Contractual Clauses.

How long we keep it

We keep enquiry data for as long as we need it to respond to you and follow up. We'll be candid about where we currently fall short of best practice: submissions stored in Netlify's dashboard don't currently have an automated deletion schedule, so they persist there until we manually remove them. If you'd like us to delete your information sooner, email us and we will.

Security

This site is served entirely over HTTPS, and every page sends a standard set of security headers (including protections against clickjacking and MIME-sniffing). We don't collect passwords, payment details, or any sensitive category of data through this website — that only happens, separately, on the application.

Your rights

Under UK data protection law, you have the right to:

• ask us what personal data we hold about you, and get a copy of it;
• ask us to correct inaccurate data;
• ask us to delete your data;
• ask us to restrict or object to how we use it;
• ask for your data in a portable format; and
• complain to a regulator (see below).

To exercise any of these, email info@vectorroutesystems.co.uk. As a small operation, we can usually action requests quickly and directly.

Withdrawing consent

We don't currently rely on cookie consent or consent-based marketing on this website, since we don't run cookies or marketing tracking here — most of what we do is based on legitimate interests, described above. If that ever changes, we'll update this policy and give you a clear way to manage your preferences. In the meantime, if you'd simply rather we didn't hold the details you sent us, email us and we'll delete them.

Automated decision-making and profiling

We don't use any automated decision-making or profiling based on data collected through this website.

Children

This website is aimed at businesses evaluating logistics and transport software, not at children, and we don't knowingly collect personal data from anyone under 18 through it.

Complaints

If you're unhappy with how we've handled your data, please contact us first so we can try to put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113.

Changes to this policy

We may update this policy as the website changes. We'll update the effective date at the top when we do. Significant changes will be reflected here directly — there's no separate changelog.
